The Executive Assistant will provide professional administrative support directly to the Managing Director and the General Manager - Marketing in Korea.
Also, this position works independently performing a wide range of complex and confidential administrative and clerical support duties.
What you will do:
Executive Support
- Provide high-level administrative support to executive including answering phones, coordinating/preparing for meetings, maintaining calendar, arranging conference calls, arranging complex travel arrangements, etc.
- Facilitate mass internal communication (i.e. distributing company-wide emails, reports, etc.)
- Serve as liaison between the executive and artists, managers, attorneys, publishers, media, producers, and internal staff.
- Prepare and submit expense reports in a timely, accurate and efficient manner.
- Coordinate the documents for Managing Director to review and approve in a timely manner.
- Keep executive organized and abreast of urgent issues in a timely manner.
- Coordinate business travel requests for SME Korea staff in all major markets.
Meeting Support
- Organize and coordinate Managing Director's meetings, materials, reports, etc.
- Gather research and prepare the executive properly for meetings and presentations through proper music data reporting sites and using company reports and resources.
- Anticipate what the executive needs throughout the day in terms of meeting prep, arising issues and new developments.
- Keep up-to-date on music business news and company initiatives disseminate to Executive regularly.
- Keep up-to-date on department specific initiatives and timelines.
- Miscellaneous projects and tasks as assigned in a timely and accurate fashion.
- Provide ad-hoc assistance as required.
Who you are:
- 2-5 years of prior administrative/executive assistant experience for a senior-level executive at MNC, law firm or local entertainment industries.
- Extremely organized, relaxed and detail oriented.
- Ability to adapt and maintain composure while working in a fast-paced, ever-changing environment.
- Able to handle confidential information with highest level of professionalism and discretion.
- Expert level written and verbal communication skills. (Strong MS Office – Presentation Skills).
- Exceptional interpersonal and phone skills and the ability to interact with internal and external partners at all levels.
- Proactive, flexible, calm and confident. Able to work independently and with little supervision.
- Ability to work on multiple projects simultaneously.
